Your Commercial Deal with TAM

Do I have to sign a long-term contract or something similar with TAM?

No, we don't ask you to commit long-term to TAM. Our philosophy is simple. If you are not satisfied with our service, then you should be free to terminate the relationship and take your business elsewhere. On the other hand, if you are happy with TAM, we hope not only to keep your business, but that you will also let others know what we have to offer.

When you sign up to TAM, we will ask you to agree to our standard Terms and Conditions, however, these do not impose any sort of long-term commitment on you or your organisation.

Do I need to pay an upfront fee or deposit to get started with TAM?

We just ask that you pay your monthly User subscription charges in advance, that's all. You can terminate or stop your payments to TAM at any time you want

How will I be charged for TAM?

As a TAM customer, you will be charged monthly in advance based on the number of TAM "Users" you have on TAM 14 days prior to your monthly invoice due date.

TAM will notify you via a TAM Message, when the next monthly invoice is due And under the tab called Company Set-up/TAM Account, you can view both current and old invoices, as well as find information about the number of Users you currently have, plus a detailed breakdown of text messaging activities per Site and individual.

Monthly invoices are paid by you going to the same TAM Account tab and following the instructions on the monthly invoice, which means you will be transferred to PayPal, the secure online payment service, where you will be asked to pay with your credit or debit card. You will then have the option to pay either one, three or twelve months in advance.

Is there a minimum number of Users we need to have for TAM?
Do all my employees need to be Users on TAM for things to work?

What is the difference between a "User" and a "Non-User"?

When you subscribe to TAM you will need to sign up for a minimum of 20 Users.

We believe it's a false economy trying to keep the number of Users to a minimum. The more of your staff that become Users, the more effective TAM will be for your organisation. Therefore, at only £1.00 per User per month, we recommend that you make as many of your employees as possible Users on TAM so that you can take full advantage of the system.

You can, however, give any number of staff limited access to TAM as "Non-Users". This Non-User access is free of charge and allows your Non-Users to log onto TAM to view details of essential Health & Safety documentation such as Health & Safety Policy, Risk Assessments, COSHH, Safe Systems of Work, Fire Safety and First Aid arrangements, etc.Note, however, there is no audit trail of the documents a Non-User has read on TAM via the Non-User free access.

That said, by putting staff on TAM as a Non-User, TAM can then help your organisation keep track of all your Non-Users’ outstanding training requirements as well as keep detailed training records for the Non-Users’. TAM does this in a similar way to what it does for the Users on the system, but - again - this service for Non-Users is free of charge.

If you want to keep costs low, you can limit the number of Users initially, and then gradually move more staff over from "Non-User" status to "Users" as your company grows increasingly comfortable with the TAM system.

In any event, it is easy to increase or decrease your number of Users, which you can do yourself on TAM at anytime.

Do I need to pay for text messages sent using TAM?

The £1.00 you pay per month per User on TAM includes 3 text message credits free of charge. If you need more than this, you can purchase additional credits in bulk at a cost of 8 pence for each additional text message. This is easy to do on TAM by going to the tab Company Set-up/TAM Account and buying them there.

Legacy Systems/Existing Health and Safety Systems

We already have an existing system for managing for Health and Safety. Can the data be transferred across?

Whether it is another software or a hardcopy based system, as long as what you have in place is in electronic format or can be electronically copied, it is very easy to upload existing documents or to copy and paste across the information that you already have onto TAM.

Getting Started with TAM

What equipment do I need to start using TAM?

As long as you have a computer, tablet or mobile phone and an internet connection (mobile phone signal) you can start using TAM. As the TAM Health and Safety software is stored and maintained on our servers, there is nothing else you need to worry about.

Do I need someone to come out and install TAM for us?
And do we have to pay an installation fee?

TAM is very easy to get started with, and we expect customers to be able to do h of the set-up work themselves by following our simple instructions.

That said, we realise many customers prefer to have assistance with this process to ensure the set-up is done correctly and quickly. We therefore have a number of authorised TAM Consultants operating in the UK who can help you get started with TAM, as well as organise training of your staff. The guideline daily rate for these third party consultants is £650 per day plus expenses and VAT. We would expect the TAM Consultants to get most organisations with less than 50 employees at one site set-up and running on TAM within a day. How long will it take me to get up and running with TAM?
How difficult is it to get started with TAM?

This will depend on how big your company is, how many sites there are, and the structure of your company. As a guideline, for an organisation operating from one site and with less 50 employees, we estimate that it will take 1-2 members of staff about a 1-2 days to learn about TAM and get the system up and running.

One reason why it can be done so quickly is because of our "EasyPop" tool, which allows customers to automatically download staff and company details onto TAM within minutes. Simply ask your accounts department or payroll to copy your staff details into a spreadsheet format provided by us and then email it back to us, so that we can populate TAM with this information for you.

After that, the rest of the set-up can be done very quickly following our step-by-step set-up guide.

Once the initial set up is done, we recommend your company take a slow gradual approach to building up your routines and information on TAM to ensure the TAM related work becomes second-nature and does not distract from the overall running of your business.

If a gradual approach is adopted, then we believe it will only take 1-2 months for TAM to help you make great strides towards comprehensive Health and Safety compliance.

My company is not structured like most other companies. Will TAM work for us?
My company has several independent sites. Can I customise TAM to suit my company's unique organisation?

The short answer is; yes.

TAM has a flexible framework that allows you to customise the system to reflect your company's unique organisation, structure, hierarchy, departments, multiple sites, etc.

Whilst originally designed for multi-site small and medium size companies, any size organisation in any industry as well as single site operations should be able to adopt TAM to suit their specific needs.

How do we train staff how to use TAM?

The TAM Health and Safety software is intuitive and user friendly, so don't be surprised if many of your staff, especially those with limited access privileges (i.e. those staff mainly using the tabs for My TAM and My Health and Safety) start using TAM with little or no training.

The training we provide on TAM comes in two parts:

  • To make training on TAM as efficient as possible, we offer a comprehensive menu of short tutorials with each tutorial addressing a particular page or feature on TAM. This way, your staff can pick and choose from the menu based on how much or little they understand about TAM. These tutorials are readily available to everyone at any time from the "Shortcut" drop down menu that is available in the top right hand corner of each page.
  • Throughout TAM there are Help buttons available (round yellow buttons with a question mark) for staff to click on and receive help and tips on issues related to the page or section in question.

Technical Issues

What does "Software as a Service" ("SaaS") mean?

TAM is a Software as a Service (or SaaS). SaaS is the name for a business model that delivers access to a software application over the internet as a service. SaaS applications are sometimes also called web-based software, on-demand software, or hosted software.

The benefits to you of Saas is that we host, manage, update and maintain the TAM software on our servers. We also back up the data you enter into TAM on our servers. Therefore, instead of you having to install and maintain a new software, you simply access TAM via the internet, freeing yourself from the often complex burden of software and hardware management and maintenance.

From where can I access TAM?
When can I access TAM?

Again, all you need is a computer and internet access. As long as you have these you can access TAM 24/7 from anywhere in the world.

Which internet browsers does TAM work with?
Do I have to use Microsoft Explorer?
We use Apple computers, do these work with TAM?

TAM can be viewed in Microsoft's Internet Explorer, Apple's Safari, Google Chrome and Firefox, as well as other browsers, but is best viewed in Google Chrome or Firefox. You can get a free download of the Firefox web browser from Mozilla or Google Chrome.

Is my data on TAM secure?

TAM utilises some of the most advanced technology for internet security available today. When you access our site using a compatible web browser, Secure Socket Layer (SSL) technology protects your information using both server authentication and data encryption, ensuring that your data is safe, secure, and available only to registered Users in your organisation.

The data you enter on TAM is also stored in a secure hosting environment. Hence, provided you ensure you and your staff keep your log-in and password details confidential, then outsiders will not be able to get this information. And your staff, contractors and others you have provided with TAM access will only be able to see the data you have allowed them to see as per their respective TAM Privileges.

Do I need to do a backup of my information stored on TAM?
How good are the TAM backup procedures?

We organise a daily backup of the information you have stored on TAM. The backup is done on a second set of servers located in a different geographical location, and both sets of servers are in secure hosting environments.

Can TAM cope with my company's growth?
Will this application scale?

You can easily add (or delete) Users, Sites, Departments, etc. to your TAM account. You need a minimum of one User to get started and there is no practical limit to the number of Users, Sites, etc. that you can add.

The fact that the TAM software is on your servers, will this slow the whole system down?
How quickly can I move from page to page in TAM?
Is TAM a high-performance application?

This will depend partly on the internet speeds offered in your local area, and partly on the number of people using the offered broadband capacity at the time. That said, TAM is a high performance application and, just to give you an idea of the speed, you will be able to switch between pages on TAM much faster than you can switch between the pages on this website (because TAM contains fewer images and pictures).

Terminating TAM

If I am not satisfied with TAM, what can I do?

You can either send us an email and let us know you are terminating the service or you can simply stop paying us. In either case, we will keep your information on TAM for a period of 30 days just in case you change your mind.

What happens if I want to terminate my TAM account?

You can terminate your TAM account at any time you wish.

If you do, there won't be any penalties, but there will be no refunds of any money that you have paid us in advance either. All future payments to TAM stop the very day you decide to terminate TAM.

What happens to all my data on TAM if I terminate TAM?

If you intend to terminate your TAM service, you should plan ahead and make sure that you copy or print off as much as you can of the information you have stored on TAM before you terminate the service.

What happens if I terminate TAM and then change my mind?

We will keep all of your data intact on the system from the date of termination and then for a further 30 days before we terminate the service and records all together.

Other Stuff

What happens to all my data on TAM if I miss a monthly payment?

No need to worry. Your monthly invoice will appear under your TAM Account page on the system 14 days before it is due. At the same time, you'll be sent a TAM Message to remind you that a new invoice has been issued. If you set your TAM alerts so that you can receive email alerts for TAM Messages, you will receive this invoice reminder directly to your email as well.

If despite this, you still miss your payment, access to TAM will continue for a further 14 days before your access to TAM gets cut off, after which we reserve the right to charge you a reconnection fee to enable your access to the system (see Current Fees).

We can't guarantee that your data will be stored beyond the 30 days after your invoice becomes overdue.
