How TAM Works

What's Needed to Use TAM

No software!

The first thing to understand is that, when you "buy" TAM you subscribe to a service from us, you are not buying a software.

The business model is called "Software as a Service" (or "SaaS"). SaaS applications are sometimes also called web-based software, on-demand software, or hosted software.

You will access our service over the internet. The TAM sofware is installed on our servers and any data you store on TAM will consequently be stored on our servers.

Because of today's high broadband speeds, you will basically be able to work on TAM as quickly as if the software had been installed on your own computer.

Benefits of Software as a Service ("SaaS")

The benefits to you of Saas is that we host, manage, update and maintain the TAM software on our servers. We manage security and also back up the data you enter onto TAM on our servers. Therefore, instead of you having to install and maintain a software on your own computers, you simply access TAM via the Internet, freeing yourself from the often complex burden of software and hardware management and maintenance.

Also, as long as you have a computer and internet access, you can access TAM 24/7 from anywhere in the world.

The hardware and software needed to access TAM

The fact that you are reading this on our website means that you probably already have everything you need to get started with TAM, which is:

  • A basic computer, a handheld tablet and/or a smartphone with internet access
  • An internet browser (your computer does not need any software apart from this)

Any number of Users can use one computer to access TAM. Since there is no need for additional software and the cost of basic computers (or even second-hand ones) is low, you may want to consider adding additional computers for your staff if they currently don't all have computer access.

Free smartphone Health and Safety app with TAM

When you subscribe to TAM you will automatically get a Health and Safety smartphone app for free. This will allow your Users on TAM to complete Actions and Checklists on their smartphones whilst moving around on your premises, out working in the field or on your customers' sites.

Which web browser?

TAM works best with the Firefox and Google Chrome web browsers, which can be downloaded free of charge from Mozilla and Google Chrome. However, TAM also works well with Microsoft's Internet Explorer, Apple's Safari and most other web browsers.

Concerns over giving staff internet access?

It is possible to configure a computer so that it can only access TAM and no other websites. This can be a useful solution if there are concerns about allowing certain staff members to have internet access.

Getting Started on TAM

The initial set-up phase

Once you have signed up for a Free Trial with TAM (Ordering TAM), your account with us will be created for you.

At the same time, you will be sent an email with simple instructions on how to quickly make progress on TAM.

In order to make the set-up procedure as simple and time efficient as possible, we have created a tool we call the "EasyPop" (derived from "easy population of database"). The EasyPop allows you to copy information concerning your staff from your payroll or other existing documentation and paste it onto a spreadsheet that is then downloaded onto TAM. As this is done, the EasyPop will automatically populate the database with the information in the spreadsheet, potentially saving you hours of admin.

Easy to customise TAM to reflect your business

TAM allows each customer to customise the application to reflect their business without this affecting the common infrastructure. Because of the way TAM is designed, these customisations are unique to each company and are always preserved through each upgrade of TAM.

Hierarchy and organisational structure

One of the customisations you will need to do is to establish your organisational structure and hierarchy on TAM. This is needed for TAM to understand how Tasks will be managed as well as to establish who can assign Tasks to whom.

The difference between "Users" and "Non-Users"

First of all, the financial difference between nominating a member of your staff as either a User or Non-User is that you will need to pay £1.00 per month for each User for a minimum of 20 Users.

A Non-User, on the other hand, can access TAM free of charge.

A User has full access to TAM and can make full use of the features that have been explained on this website Please note, however, that you will be able to set different levels of TAM access for your staff by modifying their respective TAM Privileges, see more below.

A Non-User, on the other hand, can only access TAM to view details of mainly Health & Safety related information - such as your Health & Safety Policy, Risk Assessments, Risk Warnings, Safe Systems of Work, COSHH, PPE, Fire Safety and First Aid arrangements, etc. The Non-Users will also be able to view company training and policies that you upload onto TAM.

An important difference here is that, unlike all the data kept on Users, there are no records kept or audit trails of any information or training the Non-Users have received. Also, Non-Users can't create or receive Tasks, or use any of the other TAM features.

Whilst we recommend you make as many as possible of your staff Users on TAM in order to take full advantage of the system, the free of charge Non-User option is clearly a way to keep your monthly costs down, whilst still making sure you comply with a number of Health & Safety requirements.

Importantly, you can always convert a Non-User into a User at any time, and vice versa, should you change your mind.

Setting User access privileges on TAM

As part of the set-up phase, you will be able to tailor different levels of access for different levels of staff. This way you can limit what staff can do and see on the system. It is of particular importance to establish which Users can access information such as employment details and the set-up pages on the system.

Training provided on how to use TAM

The TAM Health and Safety software is intuitive and user friendly, so don't be surprised if many of your staff, especially those with limited access privileges (i.e. those staff mainly using the tabs for My TAM and My Health & Safety) start using TAM with little or no training.

The training we provide on TAM comes in two parts:

  • To make training on TAM as efficient as possible, we offer a comprehensive menu of short tutorials, with each tutorial addressing a particular page or feature on TAM. This way, your staff can pick and choose from the menu based on how much or little they understand about TAM. These tutorials are readily available to everyone at any time from the "Shortcut" drop down menu that is located in the top right hand corner on every page.
  • Throughout TAM there are Help buttons available (round yellow buttons with a question mark) for staff to click on and receive help and tips on issues related to the page or section in question.

Alternatively, our authorised TAM Consultants can help train your staff to ensure they get off to a confident start with TAM, see paragraph below.

An authorised TAM Consultant can help you get started on TAM

TAM is very easy to get started with, and we expect customers to be able to do all the set-up work themselves by following our simple instructions.

That said, we realise many customers prefer to have assistance with this process to ensure the set-up is done correctly and quickly. We therefore have a number of authorised TAM Consultants operating in the UK who can help you get started with TAM, as well as organise training of your staff. The guideline daily rate for these third party consultants is £650 per day plus expenses and VAT. We would expect the TAM Consultants to get most organisations with less than 50 employees at one site set-up and running on TAM within a day. Making Progress with TAM

After the set-up is complete, what then?

Once the set-up phase has been completed and your staff have started using TAM, we will provide you with a step-by-step guide on how to get going and how to make the most of TAM in the early stages.

Making early progress on Health and Safety compliance

This step-by-step guide provides, among other things, advice on what to do to make continued good progress in terms of Health & Safety compliance. Some of the Health and Safety compliance issues are straightforward and can be put in place immediately, others you will need to work on over time.

TAM Responsible Person

If you have appointed several Users, we recommend that you appoint a TAM Responsible Person for your company. If you have more than one Site, we would also recommend you have a TAM Responsible Person for each Site (and that they report on TAM matters to the TAM Responsible Person for the company as a whole). The purpose of the TAM Responsible Person is partly to become the internal driving force ensuring good progress is made with TAM, as well as being the person people go to if they experience problems with TAM.

Other Stuff

Is my data stored on TAM secure?

TAM utilises some of the most advanced technology for internet security available today. When you access our site using a compatible web browser, Secure Socket Layer (SSL) technology protects your information using both server authentication and data encryption, ensuring your data is safe, secure, and available only to registered Users in your organisation.

The data you enter on TAM is also stored in a secure hosting environment. Hence, provided you ensure you and your staff keep your log-in and password details confidential, then outsiders will not be able to get this information. And your staff, contractors and others you have provided with TAM access will only be able to see the data you have allowed them to see as per their respective TAM Privileges.

We organise a daily backup of information you have stored on TAM. This is done on a second set of servers located in a different geographical location. Both sets of servers are in secure hosting environments.

Continued flexibility

Once you are up and running with TAM you will be able to add or reduce the number of Users you have at any time you want. Similarly you can add or deduct Sites at any time.

Future upgrades

We will continue to perfect the current version of TAM and update the software on a regular basis. These upgrades will not affect you using TAM apart from the fact that some of the upgrades will offer you enhanced features.

Importantly, you will not be charged for these upgrades.

We are also planning to add further modules to TAM, and will offer these optional modules to you at an additional cost.
