Operational Management - Summary

Do you have an efficient process in your organisation that ensures things get done the way you want?

TAM’s Operational Management module provides a number of tools that will make it much easier for you and your staff to manage your operation, and allow you to build up and perfect long-term comprehensive routines with the minimum of maintenance.

Task Management

An important part of TAM's Task Management software is the ability to assign TasksYou create Tasks using TAM's task generator. Each Task produces one or more Actions. One Action if it is a one-off Task. More than one Action if repeats have been scheduled. to one or more people, with or without repeats, and with a number of additional special features such as being able to schedule random TasksYou create Tasks using TAM's task generator. In addition to being able to assign TasksYou create Tasks using TAM's task generator. Each Task produces one or more Actions. One Action if it is a one-off Task. More than one Action if repeats have been scheduled. to Positions (e.g. Director of Sales, Head Office) or, if some of your staff work in Shifts where any one of several people could do one particular Shift, you will be able to assign TasksYou create Tasks using TAM's task generator. Each Task produces one or more Actions. One Action if it is a one-off Task. More than one Action if repeats have been scheduled. to a specific Shift (e.g. the Duty Manager on Thursday evening), and then whoever works this Shift will receive the resulting ActionsYou create Tasks using TAM's task generator. TAM's Task Management software will also take care of all the follow-up for you and bring to your attention only those ActionsYou create Tasks using TAM's task generator. Each Task produces one or more Actions. One Action if it is a one-off Task. More than one Action if repeats have been scheduled. that have not been done as scheduled. This will free up a lot of time not only for you, but also your staff, allowing all of you to focus on more important priorities instead
(See Task Management).

Shift Management

This tool has been specifically designed for those companies that have staff working in shifts and where one or more persons can carry out any one shift.

The shift management tool on TAM allows you to assign TasksYou create Tasks using TAM's task generator. Each Task produces one or more Actions. One Action if it is a one-off Task. More than one Action if repeats have been scheduled. to specific shifts. It is very easy to move scheduled Tasks around from one shift to another and, hence, this is the perfect tool to establish what work needs doing on each shift and to balance the workload over the course of a week.

It's simple and easy for staff to log on to TAM, receive the Tasks assigned to the shift in question and to report completion of Tasks at the end of the shift. TAM produces an easy to understand exception report, which allows you to focus your attention on those Tasks that have not been completed and the reasons why.
(See Shift Management).

Checks and Logs

Use the TAM software to create checklists for your staff to carry out, and then have them log their work on TAM.

This is a great tool to use when you may be required to provide records of checks having been carried out, e.g. regular checks of fire extinguishers, food hygiene and temperature checks, equipment and machinery inspections, etc.
(See Checks and Logs).

Training Management

TAM helps you ensure staff receive the training they need. Once you have specified the type of Health and Safety related and other training needed for various Positions, Departments, Shifts, etc., TAM will then automatically make both the company and the individual employee aware of the training required and follow this through until the training has been completed.

Training is particularly important when it comes to Health and Safety as it is often critical that employees receive training before they are authorised to carry out a certain job, and TAM helps ensure this is done, as well as keep detailed training records for you.
(See Training Management).

Internal Messaging Service

As part of the Operational Management module, and included in the price you pay for TAM, you will receive an Internal Messaging Service that all your Users of TAM can enjoy. This is a very cost effective way to communicate with your staff, as there is no need to spend money on any other software and/or user licences.

If any of your staff are also using standard email, they will be able to receive email alerts whenever they receive messages and Actions on TAM. These alerts will help them keep current with what is happening on TAM without having to constantly log on to the system. Similarly, you can get TAM to send these alerts out in the form of text messages to your staff's mobile phones.

In fact, you can even use TAM to send your own text messages to fellow Users' mobile phones.

Included in the £1.00 monthly subscription per User are three free text message credits.
(See Internal Messaging Service).

Document Sharing

Use TAM to share documents online with your staff. You can upload any documents, such as your Staff Handbook, staff policies, holiday request forms, job application forms, employment contract templates, etc. By uploading documents on TAM, you can ensure your staff have easy and immediate access to the latest updated version of any company document.

The process is simple and it allows you to restrict access to any document you upload (e.g. you can make certain documents only available to senior managers).

Provided you are happy for all your staff to have access to a document, even those staff that are not Users on TAM will be able to log onto TAM and view or print off the document. This non-user access to TAM's document sharing feature is provided to all TAM customers free of charge.
(See Document Sharing).

Meeting Management

This feature will be made available on TAM during 2017.

TAM will help ensure your meetings are productive and result in concrete actions being taken. TAM provides you with a structure that makes it easy to; keep track of your meetings; produce and archive minutes; and - importantly - generate Tasks that are fed into the system for TAM to track until completion.
